When card feeds skip the claim match

A recurring finding in financial audits of expense management applications: card postings that reach the ledger without a completed claim.

Corporate card programmes promise cleaner T&E. In practice, the feed that lands in the expense management application can still post to the ledger when a claim sits unfinished — especially if the close calendar is stricter than the chase calendar.

What we look for in fieldwork

We reconcile feed dates to claim status codes. Items that show “posted” while the claim remains “draft” or “returned” deserve a second look. So do merchant categories that staff rarely bother to annotate because the amount is small.

Why timing matters more than blame

Often nobody is gaming the system. The card statement closed on the 28th; the traveller returned on the 3rd; AP pushed the feed to keep the period open. The control failure is the missing second check after the late claim arrives.

What belongs in the management letter

Name the volume and the ageing of unmatched feed items. Recommend an owner — usually AP plus the card programme administrator — and a cut-off rule that finance can actually keep. Replacing the application rarely fixes a calendar problem.
