Refund and cancellation policy

Scope of this policy

This policy covers professional audit engagements with API Query Hub — including full financial audits of expense management applications, sampling reviews, and policy configuration assessments. It does not cover physical goods, software licences, or subscription products, which we do not sell.

Engagement confirmation

An engagement is confirmed when both parties sign the engagement letter and the deposit stated in that letter is received. Website fee ranges are informational only.

Deposit

Unless the engagement letter states otherwise, a 40% deposit reserves the fieldwork window. The deposit is applied to the final invoice.

Cancellation by the client

• More than 14 days before fieldwork start: deposit refundable minus administrative costs actually incurred (document review already performed), capped at 15% of the deposit.
• 7–14 days before fieldwork start: 50% of the deposit may be retained.
• Fewer than 7 days before fieldwork start, or after fieldwork has begun: deposit is non-refundable; work completed to date is billable at the rates in the engagement letter.

Rescheduling

One reschedule with at least 10 days’ notice is usually accepted without penalty, subject to auditor availability. Further reschedules may incur a scheduling fee disclosed before confirmation.

Cancellation by API Query Hub

If we must cancel for reasons within our control (for example, sudden incapacity without a substitute), we refund fees paid for undelivered work, including the deposit for work not started. If independence impairment appears after acceptance, we will explain the issue and refund unearned fees.

Partial refunds

If scope is reduced by mutual written agreement after work starts, we invoice for work performed and refund any surplus prepaid fees within 21 business days of agreement.

Non-refundable items

• Fees for fieldwork days already delivered
• Third-party costs approved by you in writing (for example, travel outside Greater Bangkok already purchased)
• Time spent on population reconstruction when extracts were not provided as agreed

No-shows

If client contacts are unavailable for scheduled walkthroughs without 48 hours’ notice, that day may be billed as delivered. A replacement day can be scheduled at additional fee if calendar space exists.

Work already started

Draft findings, sample logs, and working papers prepared before cancellation remain our professional work product. Copies already shared with you need not be returned; unpublished drafts are not delivered after cancellation unless agreed and paid for.

Refund method and timing

Approved refunds are returned to the original payment method when possible, or by bank transfer to the account you nominate. Processing typically takes 10–21 business days after written approval.

Exceptions

Statutory rights under Thai law that cannot be waived remain available. Engagement letters may set stricter or more specific commercial terms for a given project; where they conflict with this page on commercial points, the signed letter prevails for that engagement.
